Privacy policy
What personal data vox collects, why, and what you can ask us to do with it.
01Who we are
vox is a service of Samarth Trades and Manufacturing, a sole proprietorship registered in India. We decide how and why the personal data described here is used; under India’s Digital Personal Data Protection Act, 2023, that makes us the Data Fiduciary.
This policy covers two groups of people: our customers and visitors, and the people whose details our customers look up. For any privacy question or request, write to hello@voxelised.com.
02If you use vox: what we collect
- Your account: your name, email address, company, and what you told us you’d use vox for.
- Signing in: your password is handled by our sign-in provider and stored only in hashed form, so we can’t read it. Your API key is stored as a hash, with an encrypted copy so you can see it again on your dashboard.
- Your lookups: what you asked for (for example a name and a company domain, a LinkedIn link or a social handle), when, with which key, whether it found something and what it cost.
- Growth playbooks: the brief your agent sent and the research result, so your agent can collect it.
- Payments: our payment provider, Razorpay, takes the payment. We receive the amount, the date and a payment reference, never your full card or bank details.
- Protection against abuse: a one-way hash of your IP address when you sign up or sign in, to limit repeated sign-ups and password guessing. We don’t keep the address itself. Our hosting provider keeps short-lived request logs, including IP addresses, for security and to keep vox running.
- Cookies: only the ones that keep you signed in, plus one our hosting provider may set to tell real visitors from automated attacks. Scripts can’t read the sign-in cookies, and no cookie is used for advertising. vox has no advertising or analytics trackers.
03Why we use it
To run your account and your lookups, to bill you and keep the records the law requires (such as tax records), to keep vox secure and stop misuse, to answer you when you write to us, and to tell you about important changes to vox.
We don’t sell your data, we don’t use it for advertising, and we don’t share what you look up with other customers.
04If vox returned your details
vox answers lookups made by our customers, usually businesses looking for work contacts. To answer them, vox fetches professional information from third-party data providers and from public sources: names, job titles and employers, work email addresses, phone numbers, LinkedIn profiles, and public social media accounts and posts.
- We don’t keep a database of people. When a lookup finds an email address or a phone number, we send it to the customer who asked and don’t store it.
- We do keep a record of the request itself (for example the name and company asked about), for billing and to stop abuse.
- Growth playbook results contain public posts and public account details. We keep them so the customer’s agent can collect them.
Our customers decide why they look someone up and what they do next, and they must have a lawful reason to do it. If one of them contacted you, you can ask them where they got your details. You can also write to us at hello@voxelised.com to see, correct or delete anything we hold that mentions you.
06Where it's stored
vox’s servers and database are in Tokyo, Japan, and some of our providers may process data in other countries. We only use providers that protect the data they handle for us, and we follow Indian law on transfers outside India.
07How long we keep it
- Your account and lookup records: while your account is open. When it’s closed, we delete them within 30 days, except what the law requires us to keep.
- Payment and tax records: for as long as Indian tax law requires.
- Growth playbook results: while your account is open, or until you ask us to delete them.
- Sign-in protection records: only as long as they’re needed to stop abuse.
08Your rights
Under India’s Digital Personal Data Protection Act, 2023, and other laws that may apply to you (such as the GDPR), you can ask us:
- for a summary of the personal data we hold about you, what we do with it, and who we’ve shared it with;
- to correct, complete or update it;
- to delete it, unless the law requires us to keep it;
- to withdraw your consent, where we rely on it;
- to let someone you nominate act for you if you can’t.
Write to hello@voxelised.com. We may need to confirm who you are first, and we’ll answer within 30 days. If you’re not satisfied with our answer, you can complain to the Data Protection Board of India, or to the data protection authority where you live.
09Security
Everything travels over HTTPS. Passwords and API keys are stored hashed or encrypted, only vox’s own server code can reach the database, and we test vox’s defences. No system is perfectly secure: if a breach affects you, we’ll tell you, and the authorities, as the law requires.
10Children
vox isn’t for anyone under 18, and our customers may not use it to look up children.
11Changes to this policy
The current version is always on this page, with its date. For important changes, we’ll email account holders before they take effect.
